Write the commitment as an action

A useful obligation entry tells a person what to do. “Security reporting” is a topic; “submit the quarterly security report to the customer contact” is an action. Keep enough detail to make the task useful without replacing the source clause with an unsupported interpretation.

Record the contract reference, the relevant clause or passage, the responsible team and the person accountable for the task. If the source is uncertain, resolve that uncertainty before treating the obligation as a confirmed business commitment. An AI suggestion can help locate a clause, but it should not assign responsibility without review.

Confirm the due date and dependencies

Some commitments have a fixed date. Others depend on an event, an invoice, a request or the end of a reporting period. Record what starts the clock and who will confirm that the triggering event occurred. Do not invent a fixed deadline when the contract only states a conditional process.

For repeating commitments, decide how future tasks will be created and who will check that the recurrence matches the agreement. The current TheContractTool MVP stores individual obligations and their due dates; automatic recurrence is not implemented. Create each required task deliberately until a tested recurrence workflow is available.

Define what completion means

A completed checkbox records the state of a task, but evidence may live elsewhere. Agree what the owner should retain—for example, the submitted report, an approval, a receipt or the communication that demonstrates the action. Your organization’s retention process should determine where that evidence belongs.

When a person leaves or changes roles, review their outstanding obligations and reassign them through an authorized workflow. Revoking access should prevent further workspace actions. It does not transfer responsibilities automatically, and it cannot retract copies of documents that were already downloaded.

Use a short review routine

Review overdue work and the next set of due dates with the responsible owners. Separate an unresolved commitment from a completed task, and use an explicit next step when a date or interpretation needs review. The point of a register is to make work visible and accountable.

TheContractTool links obligations to their organization and contract, validates that the assigned owner belongs to the same workspace, and records server-written change history. It can show daily in-app reminders. It does not currently send reminder emails or provide a legal determination about whether performance satisfies the agreement.

Common questions

Who should own a contract obligation?

Assign someone who is responsible for coordinating the action and can obtain the necessary business input. The right owner depends on your organization and the agreement.

Does marking an obligation complete prove compliance?

No. It records a workflow state. Keep appropriate evidence and have the responsible people determine whether the agreed obligation has been satisfied.

This is general operational guidance, not a legal opinion about an agreement. Confirm the applicable wording and seek appropriate professional review when needed.
